Information Management

The Information Management servers are in the Canavan server room. Services include management of all Ellucian Colleague records and information and integration with internal and external systems .  This information comprises our most important, critical, institution-wide data.

  1. Projects completed in 2019-20:
    1. Annual Reporting: FA IPEDS, 1098T, IPEDS non-completers processes were developed and implemented to serve these required reports. Implemented new 1098T changes.
    2. Other reports:
      1. Financial leveraging reports. Used in development of FA strategy and awarding scheme for Fall 2020 entrants, due to a change in Admissions systems, this was redeveloped in Tableau.
      2. Data warehouse: automated extract that powers high level finance reports and the Finance dashboard, as well as Admissions, Enrollment, and other dashboard.
      3. Reports:  Summer/Intersemester report, GPA Reports, PT/PA upper/lower division reports, Weekly enrollment reports. Finish conversion of old UB/L reports, as new db server did not support it.
    3. Slate – Implemented a new admissions management system and implementation of integration with SIS.

      1. Finance Dashboard – for cabinet/senior level analysis
      2. Admissions and leveraging Dashboards
    5. Self-Service Improvements
      1. Unofficial Transcript – Adding unofficial transcript to Self-Service for on demand viewing. Watermarking and alternative layout to ensure it is obviously unofficial
      2. Budget query – enable new functionality for query, replicating the Budget Selection/Summary in WebAdvisor, with additional functionality (5 year historical view, export to Excel)
  2. In Progress Initiatives:
    1. New Colleague Infrastructure. Migrating current infrastructure to new hardware and virtual environments. This update will provide much more resiliency, as current production hardware is more than 7 years old. Some have been put in production. .
    2. Colleague Security Audit. Audit of existing accounts and improving new account creation to ensure security of information as well as appropriate access for each user. Additionally, a request form that allows for auditing of access requests and approvals.
    3. Reporting and Data Visualization infrastructure:
      1. Entrinsik Informer – Upgrading to latest version, which will allow access to data warehouse views
      2. Tableau – Purchased licenses and implemented Tableau for data visualization.
    4. Dashboards
      1. Diversity Dashboard – By request for CDO, a dashboard similar to Cornell’s diversity dashboard.
      2. Enrollment Dashboard – Replacing the existing “Executive Dashboard” with automated view of enrolled students
    5. NSC eTranscripts – working to implement transcript request and payments via the National Student Clearinghouse, to reduce PCI issues internally and offer better options to our students. Estimated launch Fall 2020.
    6. Self Service Improvements:
      1. Bank account collection & ACH Payments
      2. Online purchasing
      3. Financial Aid – implement new Self Service module, which includes significant updates to current FA processes.
      4. Graduation Application – AFD system built into SelfService, rather than PDF uploads and manual data entry
    7. Workflow software – Implement system to manage capturing of documents and signatures, and automated processing of approvals.
    8. ADP API Integration – Implement two-way integration for ADP Workforce Now.
